A good quote wins twice
First it wins the job: homeowners comparing three quotes consistently trust the one with a professional layout, clear line items and stated terms over a number scribbled on a WhatsApp message. Then it protects the job: when the client says "but I thought that included the paving," the written scope, exclusions and validity period on your quote settle the conversation in seconds.
The BuildCape quotation template includes the elements that matter: itemised labour and materials (with PC amounts where finishes aren't chosen yet), what's excluded, a validity period (material prices move — never quote open-ended), payment stages, and lead time. On BuildCape, homeowners are coached to expect line-item quotes — a matching quote signals professionalism immediately.
Quoting habits that protect your margin
- Always state exclusions explicitly — rubble removal, municipal fees and engineer's input are the classic disputes.
- Use PC (prime cost) amounts for tiles and fittings the client hasn't chosen, so their choices don't eat your margin.
- Put a validity period on every quote — 14 or 30 days is standard.
- Track everything in the library's Quotation Register, and convert won quotes with the Letter of Appointment.

Is a quotation legally binding?
Once the client accepts it, a quote generally forms the basis of your contract — which is exactly why the scope, exclusions and validity period must be in writing. Change requests after acceptance belong on a Variation Order (also in the library), not a verbal agreement.
Should I charge for quotes?
Most Cape Town contractors quote free for standard residential work and charge (creditable against the job) for complex quotes needing design work or multiple site visits. Whatever your policy, state it upfront.
How detailed should line items be?
Detailed enough that the client can compare fairly and you can defend the price: labour, major material groups, PC amounts, and preliminaries. One mysterious total invites both mistrust and scope disputes.
